PantheaCon is run entirely by the dedication of Volunteer Staff and Attendees.     Without you, the Con just wouldn’t go. Want to help out, but not sure what you want to do? Maybe it’s your first time volunteering, or you’re looking for a smaller commitment which allows you to pick your own hours at Con? Want to see many different aspects of how the convention is run? As a Volunteer, you will help around the Con where needed. Many departments use Volunteers to supplement their full-time Staff. Monitor entrances to areas to ensure guests are properly badged. Help manage lines and crowds around the convention. Help keep the Staff fed and happy and so much more. Volunteers can work towards special ribbons, earn back* their membership fee and may be considered for open Staff positions at future Cons.

The short version: 

1. Be registered for the conference and have your badge. Fill out the google form in advance if you can.

2. Read over the schedule and have an idea of when you’d like to work.

3. Come to Riesling and fill out your volunteer paperwork (or fill it out online in advance).

4. Sign up for your shifts (first come, first served).

Membership: You must have a membership for PantheaCon 2017 in order to work as a Volunteer. Please pick up your membership badge from Registration before you come up to Volunteer Central (Riesling). For speedier check in, we ask you to please look at the Schedule of Events, figure out your availability and fill out the online Volunteer Form if possible. If you register and pay for your membership on site, you will be required to show your membership receipt when signing up toVolunteer.

Age Requirement: You must be at least 16 years old to be a Volunteer and no one else but you can work hours towards your shiny ribbons or reimbursement. If you are a minor, you must bring your parent (who is also an attending member) with you to fill out your paperwork.

Shift Assignment: Once your paperwork is completed and you receive your Volunteer Number, you will be assigned shifts.You MUST check in at Volunteer Central (Riesling) at least 15 minutes prior to your shift and after the end of your shift (except if you’re working after hours) and have your time sheet updated by a Staff member. This is how we determine your reimbursement. Please note that shifts fill up quickly on a first come, first served basis.

Shift times:

  • 8:30-10:00 am*
  • 10:30 am -12:00pm
  • 1:00-2:30 pm
  • 3:00-4:30 pm
  • 6:30-8:00 pm
  • 8:30-10:00pm
  • 10:30 pm-12:00 am*

* Bonus shift = 1.5 shifts (ie. if you work the earliest/latest shift it counts as 1.5 shifts of time. If you work two evenings in a row it counts as 3 shifts, etc.)

Reimbursement Policy: For 2017, we have kept our updated our reimbursement system from 2016. You must work a minimum of two shifts to receive any reimbursement beyond a Unique Shiny Ribbon (a one shift lovely gift to go on your badge).

  • 1 shift = A ribbon to go on your badge and your first credit toward reimbursement
  • 2 shifts = $20
  • 4 shifts = $40
  • 6 shifts = $60
  • 7 shifts = $70
  • 8 shifts = $80

*For any reimbursement of 4 shifts or more, your Volunteer time must be spread over two or more days. We want you to enjoy the conference as well as work it! Our work trade agreement also specifies that once you are assigned a shift and have agreed to work it, you must show up or face serious repercussions (such as losing all your shifts previously worked on that day).

NOTE: You cannot earn more money back than you paid to get in to the conference. So if you pre-registered at the $65 rate you can keep working after 7 shifts but we will not be paying you more than you paid to the con. This goes for single day memberships as well.

Reimbursement Hours: This is when authorized Staff members will have time and access to reimbursement materials. However, if you are only attending for the day on Friday or Saturday, please plan on us mailing you a check.

Please be aware that Volunteers are responsible for their own food and lodging during the run of theCon.
