Frequently Asked Questions about presenting at PantheaCon.

 



What are the deadlines?

Presenter Submission Forms must be Submitted online or Postmarked no later than October 15th. Forms received after October 15th will automatically be placed on the Waiting List.

 

What is a waiting list?

All submissions sent in after the deadlines get put on the waiting list. We draw upon the waiting list if timeslots open up during our selection process.  We will contact you about your submission if you are selected. We typically have three times the submissions than we have space for so please submit before the deadline!

 

Do I wait for PantheaCon to contact me about presenting this year?

No, please fill in the online presentation form by the deadlines (Oct 15th).

 

How do I let P-Con know I want to submit/participate?

You submit a Presentation Application (in the left sidebar click on Programming, then Progam Submissions). Do not call the Ancient Ways store. They do not have any programming information and are helping the store customers.

 

What if I don't have email?

There is a copy of the presenter form on this website, in the Ancient Ways newsletter and at the Ancient Ways store. Please fill one out and mail it in or drop it off at the store.

 

What are the forms?

The forms give us all the information we need about your prospective presentation idea. They include places for your contact information, description of your presentation idea, tech needs, etc. This is a Juried Selection process and a complete form is required and it helps us make the best choices we can for balanced programming at the con.

 

What if I need to make changes to my online application after I've been accepted?

You can make changes to any portion of the application until October 15th. Presentation change requests will be accepted until December 31st. After October 15th you will be able to log in and update Presenter Bios and Presentation Descriptions until New Year's. After year end the information is prepared for the program book printers and any changes will have to be approved. When do I get a confirmation?

Accepted presentations will be emailed in late November with confirmation.

 

Can I advertise in the Program book?

Yes. Please visit the advertising page.

 

Can I sell my book/product?

Yes, you can sell during your presentation or right after as long as you have moved out of the room and into the hallway, making way for the next presentation to set up (please be a good neighbor!). Do I get paid to present or a discount?

No, you do not get paid to present. Presenters do not get in free and presenter discounts are not automatic. They must be applied for in advance each year before the end of January by asking Programming in writing at This e-mail address is being protected from spambots. You need JavaScript enabled to view it or sending a written request to the Ancient Ways store. Usual discount: $10 per presentation (limit 2). This discount is (and has always been) per presentation only, NOT per person and is to be determined by the person in charge of the workshop/performance/ritual. If this information does not appear on the Green Room/Registration database, you will not receive a discount.

 

Where do I pick up my presenter ribbon? What about my group's ribbons?

To keep traffic in the Green Room to a minimum, only the contact person for each group is to go to the Green Room to register, and they will pick up the "flags" or "ribbons" to attach to everyone else's badges in their group. Otherwise, if you are in a group, but not the main contact person for that group, you are to register at the main Registration table, as all the other Con-goers do, and then see your Group lead for the Presenter ribbon for your badge.

 

Can I burn incense or candles?

No. Fire of any kind is not permitted inside this facility. No open or enclosed flame. No lit candles. No incense. No exceptions. Presenters who do not follow this rule will not be asked back. There are very nice battery powered candles now available in a variety of sizes. We've found that this works well with the hotel and the limitations of the Fire Marshal.

 

How many programs may I present?

Presenters are generally limited to 1-2 presentations each. If you are a member of a larger group wanting more than 2 presentations, our concern is for presenters and contact persons becoming overwhelmed so please assign different people to be 'In Charge' then we will try to accommodate you. Groups are only given a limited amount of leeway for potential conflicts resulting from more numerous presentations.

 

How long is my time slot?

All day time-slots are 90 minutes. Rarely we have evening (after 6pm) programming that merits double time-slots; these are decided on a case-by-case basis.

 

How do I obtain Audio/Visual/Tech equipment?

How do I ask for a specific room set-up?

What if my time is up and we're still talking?

If you still need space to talk there are a few options available to you: The Gateway Foyer upstairs outside the Ballrooms, The San Carlos Foyer downstairs, or you can inquire at the Green Room for any potential room availability.

 

What does Open, Closed, and Monitored mean on door status?

Most presentations are Open and only restricted by badge checking to make sure only attendees are present. Some presentations might need to have a Closed door that the presenter knows won't be opened for various reasons. This may be due to deep guided meditation or a ritual that needs to continue uninterrupted (we will interrupt if overtime), or a workshop that would be disrupted by having to start the lesson over. Monitored rooms are usually due to sensitive subjects or planned disrobing. Number limits are a new category and should also be explicitly noted in the description.
